Terms of Use

1. Who may use the System

Access is limited to (a) employees, contractors and interns of the Firm acting in the course of their duties, and (b) clients of the Firm using the Client Portal to view their own matters. Accounts are issued individually by the Firm and are not transferable. You must not share an account, allow anyone else to use your access, or attempt to access an account that is not yours.

2. Signing in and one-time passwords

The System authenticates you by sending a one-time password (OTP) to your registered email address. You are responsible for keeping access to that mailbox secure and for everything done under your account. Tell the MAS ERP Administrator immediately if you believe your email or account has been compromised. Sessions end when you sign out; sign out on any device you do not control.

3. Confidentiality and legal privilege

The System holds client files, case strategy, correspondence and financial records. Much of this is confidential and may be subject to legal professional privilege. You must not copy, forward, screenshot, print or otherwise disclose anything you see in the System except as required to do your work for the Firm or, if you are a client, in relation to your own matter. Confidentiality obligations continue after your access ends.

4. Acceptable use

Use the System only for legitimate Firm business. You must not attempt to bypass permissions, access modules or records you have not been granted, probe or test the security of the System, introduce malicious code, extract data in bulk, or use automated tools against the System without the Firm's written permission. Access is scoped by role; attempting to widen your own access is a disciplinary matter and may be a criminal offence.

5. Accuracy of what you enter

Records created in the System - case details, hearing dates, time entries, expenses, quotations, invoices and payment confirmations - are relied on by colleagues, by clients and, in some cases, by courts and regulators. Enter information accurately and promptly, and correct it through the System rather than by editing records outside it.

6. Quotations, invoices and payments

A quotation issued through the System is an offer by the Firm, valid until the date shown on it. Approving a quotation in the Client Portal authorises the Firm to proceed and to raise the corresponding invoice. Payment confirmations uploaded by a client are treated as supporting evidence only: an invoice is settled when the Firm's finance team has verified the payment and recorded it in the System. Amounts, taxes and currency are as stated on the issued document.

7. Documents you upload

You must have the right to upload what you upload, and you must not upload anything unlawful or malicious. The Firm may scan, store, back up and process uploaded files in order to run the System. Do not use the System to store personal material unrelated to Firm business.

8. Availability and changes

The Firm aims to keep the System available but does not guarantee uninterrupted access. Maintenance, updates and unplanned outages happen. The Firm may add, change or withdraw features, and may suspend or withdraw an account at any time - for example when someone leaves the Firm, when a matter closes, or where misuse is suspected.

9. Intellectual property

The System, its design and its software are the property of the Firm or its licensors. Nothing here transfers ownership. Documents produced for a client in the course of a matter remain governed by that client's engagement terms with the Firm.

10. Monitoring

Use of the System is logged, including sign-ins, records viewed and changed, and administrative actions. Logs are kept for security, audit and compliance purposes (including ISO 9001 and ISO 27001 obligations) and may be reviewed where there is a legitimate reason to do so.

11. Governing law

These terms are governed by the laws of the State of Qatar, and the courts of Qatar have jurisdiction over any dispute arising from use of the System.

12. Changes to these terms

The Firm may update these terms. The date at the top shows when they were last changed. Continuing to use the System after a change means you accept the updated terms.
